Chapter 53. Individual Membership Report

Overview

The Individual Membership Report tool is used to create customized views and reports of individual membership type and state information according to search criteria input by a Report Admin. The report will list all individuals with membership attributes meeting the search criteria.

Because of screen space limitations, the view displayed on the screen usually contains only a subset of the data available in the report. Download the report to view all available data.

Use the Individual Membership Report tool to:

  • Generate a real-time membership report for one or more individuals.

  • Generate a report that lists all individuals whose memberships start or expire on a given date.

  • Generate a report that lists all individuals having a specific membership type or state, such as all memberships pending moderation.

  • Generate a downloadable or print-ready report of this information.

How to use the Individual Membership Report tool

Search

Set any of the optional fields to refine the search criteria. To view all available individual membership information, leave the search fields set to the default values.

Options

User

Select the user whose membership information you want to see, or 'Any User' to list memberships for all users who meet the search criteria.

Membership Type

Set this value to search for a particular membership type. If set to the default value, 'Any Membership Type', the results will not be restricted by membership type.

Membership State

Set this value to search for a particular membership state. If set to the default value, 'Any Membership State', the results will not be restricted by membership state.

The membership state may be one of the following default values:

Pending Bill Payment

Select this membership state to find memberships that are pending because the membership fee has not yet been paid. This option only applies to fee-based membership types on sites where Kavi® Billing is installed.

Pending Moderation

Select this membership state to find memberships awaiting moderation. This option only applies to moderated membership types.

Pending Start Date

Select this membership state to find approved memberships that are awaiting their start dates.

Pending Prerequisites

Select this membership state to find memberships that are on hold due to pending prerequisites.

Current

Select this setting if you want to find current memberships.

Expired

Select this setting if you want only expired memberships to be displayed.

Archived

Select this setting if you only want to view memberships that have been archived.

Denied

Select this setting if you only want to see memberships that have been denied.

Start Date

Set these fields to search for memberships by start date. Select whether you want to search for memberships where the start date occurs exactly on, before, or after the date you set.

Expiration Date

Set these fields to search for memberships by expiration date. Select whether you want to search for memberships where the expiration date occurs exactly on, before, or after the date you set.

Done

A Individual Membership Report is displayed according to the search criteria you provided. The same username may appear in multiple rows if the individual has more than one membership under this username. Download the report to view all available memberhip data. Each column heading shows the name of a field as it is recorded in the database. Most field names are similar to the labels seen on Kavi Members pages.

Fields that may not be familiar from Members pages include:

state

The start date of this membership. If this date is in the future, the membership is not yet current.

start_date

The state of this membership. See Membership Workflow.

end_date

The end date for this membership. If this date is in the past, the membership has expired.

renewal_info

Indicates whether this is a renewal or new membership. If 'renewed' appears in this field, the membership is a renewal. If this field is blank, it is a new membership.

renewed_with

If the membership was renewed, this is the membership type of the new membership.

renewed_on

The date that a membership renewal was processed by the organization. This is not necessarily the same as the start date of this membership.

last_modified

The date and time that this membership record was last changed.

creation_date

The day on which this membership was created. The presence of a date value in this field does not indicate whether the company is a current member or not, but only that a membership was created for this company.

moderation_queue_date

The date this membership entered the moderation queue. The 'moderated_date' field will be empty if the membership is not a moderated membership type or if it has yet to enter the moderation queue.

moderated_date

The date that this membership was moderated. By default, only new membership applications are moderated and applications that are denied are immediately deleted, so a date in this field indicates the date that a new membership application was approved for this member.

activation_date

The day on which this membership account was activated (i.e., the date on which the membership state became 'current').

This is not necessarily the same as the membership start date. There are many reasons why these dates may differ, but lapsed memberships are probably the most common. When the grace period expires, members who are not in good standing may be deactivated. The day this membership is renewed, the membership activation date is set to the current date but the membership start date is set retroactively to the day after the previous membership expired.

Report Options

Options available on the report are:

Print-Ready

Removes the look and feel of the web site surrounding the report and scales the displayed report for printing.

Download

Select a file format and download the data in this report to a file on your computer.

Available file formats are:

Comma-Separated-Values (CSV)

File format used to transfer data from one application to another. Each record comprises one line, with values for that record separated by commas (e.g., first name, last name, email address).

Excel Spreadsheet

Spreadsheet file created by, and which can be opened and manipulated by, Microsoft Excel.

Pipe Delimited (available on most reports)

File format used to transfer data from one application to another. Each record comprises one line, with values for that record separated by pipes, (e.g., first name | last name | email address).
